About the Role:
 
At Nutrition Australia NSW (NANSW), we are looking for a dedicated and highly organised multi-tasker with excellent communication skills to be our Office Coordinator.
 
This position makes a key contribution to NANSW’s mission by being the main point of contact for all members, contractors, volunteers, staff and Board, and responds to enquiries and procedures relating to NANSW, including day to day management. The candidate should be capable in taking the lead role in coordinating and allocating work, following up on leads and assist and/or provide reports on programs and all partnerships. Working within a multi-disciplinary team of Dietitians, Nutritionist, other Health Care Professionals, governments and corporates, the Office Coordinator will help optimise revenue and nutritional care.

We are a passionate team dedicated to enhancing the nutritional health and overall well-being of those in metropolitan, regional, and rural communities across NSW. We aim to support healthy eating from the very first steps through to all stages of life. Our programs include cooking demonstrations, community outreach, corporate health, menu assessments, nutrition consultations, health displays, and more. We believe that access to healthy food and nutrition education should be available for everyone, and we collaborate with other organisations and develop campaigns to make that happen.
 
Responsibilites:
 
Manage General Office Administration:
 

  • First point of contact for NA NSW and day to day running of the office.
  • Conduct workflow tasks efficiently and in line with existing policies and procedures.
  • Work alongside the President to update policies and procedures where required.
  • Database management including creating, updating and maintaining accurate records.
  • Organise annual volunteer induction training and support the Volunteer Coordinator role in organising volunteers as required.
  • Liaise with Universities to engage students and confirm projects and supervision by a qualified person.
  • Work Health Safety (WHS) - comply with the legislative requirements and report all incidents.
  • Organise and assist with monthly events, demonstrations, speaking engagements and annual National Nutrition Week events.
  • Liaise with National colleagues as required.
  • Ensure all work and events are accurately recorded for accounting purposes.
  • Work collaboratively with the Marketing and Communications manager to provide updates on projects as required.
  • Provide monthly office reports to President for Board meetings.
  • Capability to prepare presentations and reports on NANSW activities as required.
  • Communicate and interact with people at all levels including Board members, corporate partners, Government partners and donors on behalf of the President.
  • Assist with AGM, prepare and distribute correspondence, minutes and agenda.
  • Ensure privacy and confidentiality at all times.
Programme Management & Reporting:
 
  • Working as part of a close-knit team, provide support including but not limited to organising consultants, volunteers and resources for projects.
  • Attend to queries and potential new work, new referrals and business opportunities.
  • Provide quotes to potential clients, ensure all steps are accurately recorded as part of Work in Progress and these records maintained.
  • Grants are managed (P&L) and acquitted in a timely manner.
  • Report on relevant impact data for NSW Health as part of quarterly reporting.
  • Support team with grant applications and programs.
  • Liaise with contractors and presenters to provide analysis of services and insights of what worked and how to generate more interest and funding.
  • Other Duties - as required and directed by the President and or Board.

Essential Criteria:
 
  • Minimum of three years’ experience in office environment
  • Self-motivated, accountable, committed and trustworthy
  • Work collegially with staff, contractors, board, partners and members
  • Strong communication skills, presentation, analytical and attention to detail
  • Highly effective interpersonal skills, ability to think strategically
  • Work as part of a small team, organise, coordinate and lead events
  • Represent NANSW to external organisations and individuals
  • High level Microsoft office skills
  • Citizenship or Australian Permanent Residency
  • A current Drivers Licence and undergo relevant police checks
  • Excellent organisation and time management skills
Desirable Criteria:
 
  • Current CPR or willingness to complete within a month of employment
  • Experience with similar not-for-profit NGO
  • A demonstrated interest in nutrition, health and wellbeing
